The Why & Who
- Define the trip purpose clearly before inviting everyone: celebration trip, annual tradition, adventure, or relaxation — misaligned expectations cause group conflict
- Cap the group at 8–10 people for a manageable trip — larger groups fragment naturally and require professional travel coordination
- Be explicit upfront about commitment expectations — 'let me know by Friday if you're in' is more effective than an open-ended invitation
Budget
- Ask everyone their budget range before you book anything — a $1,500 person and a $5,000 person cannot be accommodated by the same itinerary
- Create a shared budget document (Google Sheets) listing all expected costs per person: flights, accommodation, activities, meals, and a 10% buffer
- Clarify whether costs are split equally or based on room type chosen — couples in double occupancy pay less per person than solo travelers
Dates & Decisions
- Use a Doodle poll (doodle.com) to find dates that work for the majority — don't wait for unanimous agreement or you'll never leave
- Make a shortlist of 2–3 destination options and take a group vote — designate a decision deadline and honor it
- Once a destination is decided, the organizer makes all booking decisions — design by committee leads to indecision and missed deals
Payments
- Collect all trip money through Splitwise (splitwise.com) or Venmo with a dedicated group — do not front costs for others and chase reimbursement
- Require non-refundable deposits from everyone before booking — 'I'll pay you back when we get there' is how organizers lose money
- Book accommodation and activities with a credit card that provides purchase protection — disputes are easier to win than bank transfers
Logistics
- Create a shared Google Doc with the full itinerary, accommodation addresses, confirmation numbers, and key contact numbers — share with everyone 1 week out
- Set up a group chat with all attendees before departure — WhatsApp works for international trips; group iMessage for domestic
Day-Of
- Build 30 minutes of buffer into every transit in the itinerary — groups always move slower than individuals
- Identify a reliable co-organizer within the group to help manage logistics on the ground — one person cannot corral everyone alone
- Allow for free time in the itinerary — fully-packed group schedules burn out participants and cause friction; 2–3 hours of optional solo exploration is healthy
